Training Administrator
JOB DESCRIPTION
Lark Valley Training is a Lantra and City & Guilds NPTC registered training and assessment provider. We offer a wide range of land-based activity qualifications such as training in the use of chainsaws, brushcutters, tractors, pesticides, forestry, first aid and many more.
The role of Training Administrator is crucial to ensure that courses are run in a smooth and timely manner. Please see below for the duties that a Training Administrator will be expected to fulfil before and after a course, as well as more general duties and a person specification.
Pre-Course Duties
- Creating and sending booking forms for clients to complete, using pre-existing templates.
- Maintaining electronic records of the courses and assessments.
- Updating candidate details on City and Guilds NPTC computer systems.
- Booking candidates for their courses and assessments.
- Creating invoices to be sent to clients, using pre-existing templates.
- Sending confirmation of courses to clients and trainers, using pre-existing templates
- Processing payments for clients and trainers.
- Posting relevant materials to trainers.
- Prepare our training room for upcoming events.
Post-Course Duties
- Uploading results of course and assessments onto the Lantra or City & Guilds NPTC computer systems.
- Creating and posting certificates of training.
- Ensuring payment for training has been received.
- Sending course appraisals to clients.
- Updating statistical spreadsheets to keep an accurate record of the training and assessments completed.
General Duties
- Answering incoming phone calls and providing information about courses.
- Keeping the staff calendar up to date with current courses.
- Managing staff reminders to ensure that courses are confirmed 10-14 days before they take place.
- Update the website on a weekly basis.
Person Specification
- Knowledge of Microsoft systems (mainly Excel, Outlook and Word).
- Computer literate.
- Knowledge of quality and compliance.
- High level of customer service.
- Comfortable talking on the phone, good communication skills.
